Division of Primary Studies Students’ Affairs

Registration Division:

This division, overseen by the registration director and its dedicated staff, holds a pivotal role within the college's administrative structure. Its responsibilities span from the initial admission of students to the college to their graduation. The department handles the reception of accepted students, processing their files, and subsequently organizing them based on their respective college departments.

The department is actively involved in various aspects of student administration, including issuing confirmation letters for students at different stages of their academic journey, monitoring and addressing student absences, managing correspondence from the Ministry and external sources, facilitating student transfers to and from other universities, dispatching academic records, transferring grades for students changing institutions, and issuing graduation confirmations.

Moreover, the department plays a crucial role in providing graduates with documentation, such as certificates endorsed by the university's presidency in both Arabic and English. It also responds to inquiries regarding the validity of these documents and endorsements, and ensures students receive merit certificates.

Tasks and duties of the Registration Division: The Division consists of several units, which are as follows:

First: The Preliminary Studies Unit (morning and evening)/ The Preliminary Studies Unit undertakes the following tasks and duties: -

  • Admission of students to the morning study according to (central admission - admission of the families of martyrs - acceptance of top students in institutes - admission within the distinguished channel - admission within the morning private government education channel - modification of the nomination).
  • Admission of students to evening studies (graduates of middle school - admission according to Law 15 of 2016 - admission of the top ten students to institutes - admission of martyrs’ families through the Martyrs Foundation and the Ministry).
  • Follow up on the timings related to the start of the evening application opening in accordance with the effective ministerial instructions.
  • Following up on students’ registration and supervising the completion of their personal files, issuing administrative orders for registration and initiating admission in light of the university order regarding student admission.
  • Following up on the registration of first-year students in the University of Baghdad’s electronic management system program (student system).
  • The issue of transferring students, hosting them, and amending their candidacy in accordance with the minimum limits for admission and according to what their competitive averages qualify them for in the year of their admission.
  • Issuing administrative orders to direct students and all stages of the college.
  • Following up on everything related to the student’s academic history, including (postponement, enrollment promotion, transit, transfer, hosting, and failure).
  • Recording incoming and outgoing mail to the division.
  • Follow up on the academic documents of students accepted to the college.
  • Directing the necessity of adhering to the timings specified by the university for the purpose of checking documents for the preparatory study of students accepted into the college.
  • Issuing student IDs.
  • The department prepares a complete database of current and continuing students.

 Second: The Documents and Attestations Unit / The Documents and Attestations Unit undertakes the following tasks and duties: -

  • Completing the documents of students graduating from the college after auditing them, relying on university orders for graduation.
  • Validity of issuance of graduate students’ documents.
  • Issuing administrative orders for graduation for students graduating from the first and second rounds in light of the university order for graduation for the first round and the university order for the second round.
  • ​Preparing a complete database of graduate students distributed according to academic departments and years of graduation.

Documents required from the accepted student upon registration: -

  1. The original preparatory school document, certified by the General Directorate of Education.
  2. three colored copies of each of (Iraqi nationality certificate/civil status ID/residence card or national card).
  3. six recent photos with a white background.
  4. Original medical examination form.
  5. A compact disc (CD) that includes copies of the preparatory school document, documents, and a recent personal photo.
  6. A guarantor bond according to a form prepared by the College’s Legal Department in addition to the following documents:
  1. Iraqi nationality certificate/civil status ID/residence card or national card.
  2. The sponsor’s identity and personal photo.
  3. A letter of continuation of service if the sponsor is an employee.
  4. A letter of confirmation of retirement if the sponsor is retired.
  5. The sponsor’s attendance at the Legal Division.
